Like every electrical contractor, we lived with the same scattered process. Certificates in one system. COVs and Emergency Lighting PS3s, saved somewhere else, usually a folder on someone's computer. Compliance tools somewhere else again: a maximum demand calculator in one place, earth loop impedance tables bookmarked in their reg book, or a mains cable selection calculation done on a different app. Nothing talked to anything. Nothing lived together.

On site, that meant time wasted hunting for the right tool or the right form instead of getting on with the work. Back in the office, it was worse. Collating a full compliance package for a client meant pulling documents from three or four different places, and when a client came back years later asking for a certificate, someone had to go digging through old folders hoping it was where it should be.

The certificates themselves were the other half of the problem. Paper pads that went missing. Scanning and filing. Driving back to site for a signature. And because doing a certificate was tedious, they piled up, which meant our office staff spent their week chasing the team to get compliance paperwork finished instead of doing their actual jobs.

So we built the thing we couldn't buy

We looked for a single platform that handled all of it and it didn't exist. Plenty of tools did the core certificates. None of them covered the full picture: CoCs, ESCs and ROIs alongside COVs, Emergency Lighting PS3s, full test sheets, and the working tools sparkies actually use to get the job right, all in one place, all stored together, all findable in seconds.

So we took on the challenge ourselves. One platform where our team could create every certificate and record they'd ever need, where the calculators and reference tools were right there next to the certs, and where every document a client might ask for, today or in seven years, lived in one searchable place.

Then we went after the tedium

Because a compliance system only works if your team actually uses it. That's where CertMate's AI came from: dictate your job description instead of typing it, photograph handwritten test results and watch the sheet fill itself, ask a regs question in plain English and get pointed to the right clause.

The boring parts got fast, and something we didn't fully expect happened: certificates started getting done on site, on the day, without being chased. Less follow-up for the office, fewer loose ends for everyone.

Like a growing number of NZ electrical businesses, we expanded into heat pumps and HVAC. The compliance side came with it: installation records, service checklists, test results. It made no sense for those to live in yet another separate system, so we built them in. Now an HVAC test sheet or service record attaches to the same job and the same client as the electrical certs, and what you hand over is one complete, professional package.
